Who we are and what this covers
Kaivox is an AI marketing platform that scans a brand, measures how visible it is in AI assistants and search, and helps create and improve marketing content. This policy covers the information we handle when you use the Kaivox app and website, including data you give us, data we collect automatically, public data we scan about a brand, and data from accounts you choose to connect. If you use Kaivox on behalf of a company, this policy applies to that use as well.
Information we collect
- Account information. your name, email address, and password (stored only as a secure one-way hash), plus your workspace and team membership.
- Brand and scan data. the website URLs you scan and the brand profile we build from them, including publicly available social, marketplace, and advertising information about the brand.
- Content you create or import. the posts, drafts, edits, and any historical content or performance data you generate in or upload to Kaivox.
- Connected-account data. when you connect a third-party account (such as Google Search Console, Google Analytics, or a social platform), the data that account authorizes us to read or the permission to publish on your behalf.
- Usage and device data. basic logs, the pages and features you use, and standard technical data such as IP address and browser type, used to operate and secure the service.
How we use your information
We use your information to provide the service: to run brand scans, measure AI visibility, generate and improve content, and show you results. We use it to operate, secure, debug, and improve Kaivox, to communicate with you about your account and product updates, and to meet legal and safety obligations. Your brand data is used to improve your own results. We do not sell your personal information, and we do not use the words or content of your brand to train shared models. Any future aggregate learning across customers would use de-identified outcome patterns only, never your content, and is opt-in.
AI and third-party processors
Kaivox relies on a small set of trusted vendors to operate. We share only the data each needs to do its job, under their own security and privacy terms. These include AI model providers that generate text and images from your brand context, data-collection services that gather public web and search information, an email provider for transactional messages, and cloud hosting and database providers. We do not authorize these vendors to use your data for their own purposes beyond providing their service to us.
Data from platforms you connect
When you connect a platform such as Google, Meta (Facebook and Instagram), LinkedIn, or TikTok, you grant Kaivox specific permissions, for example to read your analytics or to publish content you approve. We use that access only for the features you enabled, and you can disconnect at any time from Settings, which revokes our access going forward. Your use of each connected platform also remains subject to that platform's own terms and privacy policy. If a platform requires us to honor a data-deletion request it sends on your behalf, we delete the data tied to that authorization and confirm the deletion.
Public information we scan
Part of what makes Kaivox useful is reading publicly available information about a brand and its competitors, such as a public website, public social profiles, public marketplace listings, and public ad libraries. We collect this to build the brand profile and the competitive picture. If you believe we have scanned something that should not be public, or you want a brand removed, contact us and we will address it.
How long we keep data, and deleting it
We keep your information for as long as your account is active and as needed to provide the service, then for a limited period as required for legal, security, and backup purposes. You can ask us to access, correct, export, or delete your personal data by contacting us at the address below, and we will respond within a reasonable time. Deleting your workspace removes its brands, scans, and content. Some minimal records, such as proof that we honored a deletion request, may be retained where the law allows or requires it.
Cookies and sessions
Kaivox uses cookies and similar technologies that are necessary to sign you in, keep your session secure, and remember basic preferences. We do not use advertising or cross-site tracking cookies. You can control cookies through your browser, though disabling the necessary ones will prevent you from signing in.
How we protect your data
We protect your information with measures such as encryption in transit, hashed passwords, encrypted storage of sensitive connection tokens, strict per-workspace isolation so one customer cannot see another's data, and audited access to changes. No system is perfectly secure, but we work to keep your data safe and to respond quickly if something goes wrong.
Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal data, to object to or restrict certain uses, and to withdraw consent. You can exercise these by contacting us, and you will not be treated differently for doing so. You can also disconnect any connected account and opt out of non-essential emails at any time.
Children
Kaivox is a business tool that is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
Changes and how to reach us
We may update this policy as the product and the law evolve, and we will revise the date at the top when we do. For any privacy question or request, or to access or delete your data, email privacy@kaivox.ai.
